Description:

Our client is currently looking for an HR Administrator to support their HR Department.

This is a permanent / staff position, salary £19,000 - £21,000
Full time, working hours 9am-5pm Monday to Friday

DUTIES
Provide a comprehensive administrative function for all aspects of the HR Department
Ensure that all activities are carried out with the highest regard to the health and safety of all involved and to the protection of the environment and prevention of pollution
Ensure that all work is undertaken to the highest quality and professionalism in accordance with the company integrated Management System and project specific documentation
Identify personal training needs, bring them to the attention of the departmental manager and to take full advantage of the training opportunities provided
Responsible for ensuring all personnel files are kept up to date and all relevant documentation filed in a timely manner
Responsible for departmental archiving
Create and maintain HR data and reporting
Responsible for the production of monthly HR reporting
Ensure that sufficient employee references are obtained for potential new employees and satisfactory Pre Employment medicals are completed. Inform the HR Advisor of any failed screenings
Prepare terms and conditions of employment ensuring that all new start documentation is returned
Liaise with Payroll Department and give instruction on any personnel changes
Manage the company’s Pension Auto Enrolment responsibilities and liaising with our Pension provider on behalf of the company
Prepare induction paperwork and schedule for new starts
Administer the sickness absence records
Produce and coordinate the return of any HR documentation
Assist with the planning and coordinating of events (eg Training)
Administer training records, annual insurance renewals and MLC cards
Participate in business projects and initiatives to achieve the company’s business objectives
Support the other members of the team as and when required

QUALIFICATIONS
Minimum SCQF5 in Business Administration or equivalent

EXPERIENCE
Previous experience working in an administrative environment. Proven ability to provide administration support to a busy and deadline driven department. Ability to gather and format information for reporting purposes.
Previous experience working in an administrative role within a HR department would be desirable.

KNOWLEDGE & SKILLS
Extensive experience and knowledge of both Microsoft Word and Excel packages
Experience working with a HR Information System (HRIS) including inputting and extracting data would be desirable.
Must be able to deal with confidential information in a sensitive manner
Strong attention to detail and accuracy when working with HR data or preparing documents
Ability to prioritise workload effectively to meet deadlines
Proven ability to problem solve and work on own initiative
Proven ability to work as a team member
Strong all round interpersonal skills, both with peers and others
Excellent written and verbal communication skills
Confident, self-motivated and positive
